Earlier in the year I received an e-mail from a client containing a funny article called “Study Finds that Working at Work Improves Productivity.” I found it again on the Internet as well. Not only did I find this article to be refreshingly funny, but no matter how fake and satirical it was, it probably hit the mark on how professionals may be actually spending a lot of their day. I thought this would be a good time to talk about how important it is to actually be working while you’re at work.

The article stated: “‘Our findings are astounding: By simply sitting down and doing work, employees can dramatically increase their output of goods and services,’ said Deputy Undersecretary of Labor Charlotte Ponticelli, who authored the report. ‘In fact, “working” may revolutionize the way people work.’”1

The “study” found that a professional can increase their output threefold just by… working!
Imagine that!

This topic is even more important now because of the state of the economy and because in 2009 there may be many more shifts in the business world, including businesses closing, filing for Chapter 11, conducting mergers or acquisitions, and cutting jobs.

Wouldn’t it be great to strip away anything that’s getting in the way of your productivity and doing the absolute best job you can do while you’re on the job? It could allow you to reinforce your value to the company for whom you work and is likely to strengthen the business overall.

I want to challenge you to pay attention to where your time goes throughout your work day. Catch yourself every time you are chatting on the phone with family or friends, watching YouTube on the Internet or looking at jokes in e-mail during business hours. Another good one is shopping on the Internet.

I have a client who owns a small business in a nearby County. Let’s call her Joyce. Joyce has been in her industry for quite some time, but has owned her business for less than a year. When she called me in for productivity consulting, she suffered from the same afflictions that most of my other clients suffer from: too much paper, a file system that isn’t complete, no task management system, time management issues, too much e-mail, etc….

However, when we got into some discussions about how she managed her time and her day I uncovered two things that were big time suckers. One is common and the other is becoming more common for many professionals these days.

The first issue is lost time due to talking on the phone for non-business reasons. Joyce would spend a couple of hours a day on the phone with friends. If you find yourself on the phone with friends, relatives, co-workers, etc. and you’re being a Chatty Chuck or Chatty Cathy, then check this at the door to your office. Be very careful about how much time in the day you spend talking about non-business topics.

For my business owner readers, you may think that because you own your own business you can do anything you want and it won’t make a bit of difference. Well, depending on what it is and how much time you have, you may be right, but for most business owners, time is money and they don’t have a lot of time. So the best thing to do is make every minute count and be sparing with the breaks and the free time. It’s not free. We all need breaks, but make sure it’s the minority of your time, not the majority. You want your business to grow and succeed, right?

The second cause of lost time for Joyce was Facebook. It’s often part of my conversations with clients as we discuss how it’s affecting their focus, concentration and productivity.

I can tell, of course, that Facebook and all the other social networking sites won’t be losing speed or going away anytime soon. However, Joyce was losing at least an hour every day to Facebook and it wasn’t for business purposes.

While social networking sites are great for personal and business reasons, it’s how you manage your time and your day around them that you have to watch out for. I want to share with you what I recommended to Joyce and then tell you how these changes resulted in saved time and an increase in potential new business for her.

As Joyce sees it, I gave her “permission” to tell her friends that if they called during business hours, she will let it go to voice mail and call them back when she takes a break for lunch or after hours. Her friends respected her wishes and now Joyce has gotten those two or three hours back in her day.

As for Facebook, she was using it for personal reasons. Had she told me she was using it for business reasons, we would have talked more about it. But since it was 100% at this point, I recommended she look at it after business hours. I have other clients who do the same when using Facebook for personal use.

She’s actually turned away from it entirely and I’m not even sure she looks at it after business hours. In any case, she’s gotten that hour back in every work day.

It was imperative that Joyce start using these new recommendations or her business would continue to feel the effects of lost time. Now that she has instituted these tactics, her time devoted to business has increased almost 40% and she’s enjoying progress and peace of mind. Let me share with you the results of these changes.

One of Joyce’s big accomplishments was getting established as a woman-owned business and is now approved to do business with the government. Prior to our work together, she hadn’t had the time to research the steps to take, fill out the appropriate forms, etc. Now, after months of wanting to get to this, she is approved and has recently submitted a $ 10,000 bid for new business. In fact, Joyce now has more time to submit many other bids, which can increase her business greatly.

Another big accomplishment that Joyce has enjoyed was entering all of the business cards (about 200) that had decorated her desk for many months into “Constant Contact.” She was recently able to send out the first of many e-mail blasts to come and it resulted in a big increase in her website traffic. Hopefully that will generate more business for her as well!

So take a page from Joyce’s book and watch where your time goes. Be brutally honest with yourself and see if you can’t squeeze a few more productive minutes or hours out of your day. I always think it’s important to do so, but that’s just me. I’m all about productivity. But now I want to emphasize it. Protect your valuable time. Simplify. Get everything out of your way that could be holding you back. Now’s not the time to be wasting time. Now more than ever!

If we all had a dime for every time anybody told us how crucial social media is to our promoting, we would seemingly all be millionaires. This is somewhat true for the other social media websites although, Facebook still has the sweeping benefit for a bunch of reasons. That is characteristically what Linkedin is; one big networking website. But many people from Linkedin do not know each other, that is its object! Linkedin gives individuals the opportunity to link up with other appropriate professionals that will, expectantly, allow them to link with their connections and build their company.

Twitter has become an influential force in the social media world lately. When the first Tweet was sent in 2006, the public had no idea what power it would maintain. When it first hit the mainstream it was most often used by the younger cultures and high profile athletes and celebrities to read about each others lives. It has now grown into an avenue for hopeful professionals and business people to make a name for their company and develop a voice within their field.

One of the main reasons that Twitter has become so popular and gained mass recognition is that it is easy and to the point. It enables you only 140 characters, much like a text message, to get your point across. This is essential to the success of Twitter. As I said, Twitter is the most basic form of social media used by the public today. Not for the actuality that you are restricted to the length of Tweets, but rather that you are allowed just that; Tweets. That’s it. You can Tweet, ReTweet, follow, and be followed. There are no games or groups or anything like it. Its to the point! People follow those whom they want to learn from and can be interacting with people in your field.

Hopefully now you have a greater idea of how to grow your social media image. These methods are without doubt not the only methods or best practices to use, yet it will give you a good foundation and start on the right path. What I encourage you to do from this stage on is reach out to as many people as you can and try to get your content seen and heard. If you do that, you will be effective through social media, guaranteed.

Now you just need to start creating a website content strategy to start promoting through these social media avenues.

You can also use social networks to post photos of your product. This will help people get an idea of exactly what it is that you are selling. You can also include a little description of the product. This will greatly increase your sales.

Social networks also help you know what the other businesses are doing and you can emulate some of their top strategies or make them even better. This will give you an edge over the other companies.

The problem many people have while using the social media is that they end up having friends that are not beneficial to them and consequently waste a lot of time chatting with them. It is very common to find people making friends with celebrities, which is not bad, but if you are there to do business it would be best if you spent more time chatting with your target market. Make sure that the majority of your friends are your target market. Having more time to talk to the target market will help you be able to explain to your potential customers all that they need to know about the company.

Finally, it is also very important that you participate in the networks as a person and not a marketer. Relate to people like a friend. This develops some level of trust and loyalty. People will feel connected to your company since you seem to be a good person. You will end up making more sales this way.

What one person could do, a single post will do even better. You can also choose to outsource the people writing posts and mitigate costs. Outsourcing lowers cost in that you do not have to pay medical coverage or any pension and they can be paid casually.

The reason why you need to lay off your workers is because you do not need a lot of people to post the information for you on the social media platform. One person can be able to handle all this work. Do not worry that you might not reach as many customers since the social networks have proved to be quite effective and have many people using them.

With the above strategies, costs will definitely be reduced and revenue increased meaning that the business will be able to make huge profits in very little time.

Good examples are social media and the industrial media. Social media has reinvented the business of public relations, making it easier and more effective.

You no longer have to be an expert so that you can be in the public relations department if they depend on social networks. Social mediums are quite easy to use and you do not need to write long speeches to communicate your message. All you need to do is be polite and straight to the point.

To be able to print industrial media you need to get permission from various sources. This makes the task quite hard as compared to social media. You do not require getting confirmation from any authority to print anything. If you have something that you need to point out you can do so in these social mediums.

When a company wants to post a message to the public it usually takes a long time to reach its customers. This is because of the several steps that it needs to go through and the time it takes before it’s published. The time taken can bring about the difference between making profits and incurring huge losses. This is not the case with using social networks. If a company needs to communicate with the public it will do so in a very short time.

Messages sent to the public through other channels are usually less likely to be seen by the larger public compared to using the social media platform. For example, if a company uses the newspaper or the television to pass a message, it is more likely that the majority of the people will not get the message. People will not only get the message through the social networks since they are easy to access, but also because its fun to use the networks, thus they will definitely log in and see the message.

The cost of public relations has also been brought down to almost zero thanks to the social networks. You do not need to pay anything so that you can post anything on the site nor do you pay to register. All you have to do to register is put in the necessary details that are required and from then on you can access the site any time you want. All that the sites demand is that you follow their terms and conditions for you not to be kicked out.

The sites are also accessible from anywhere in the world. They do not restrict people from any country to join them. If you find a particular country not using social media, it’s because the law of that country does not allow it and not the management of the sites. Mostly war torn countries are the ones who have social networks banned.
